Top Ten Tips for Winning Tenders

1.    Be thorough: answer every question in the bid document – missing out a couple of vital questions can lose you the entire bid.

2.    Know your marketplace (competitors & pricing): spend time researching your competitors and understand their pricing prior to the bid writing process.

3.    Appeal to your reader: offer persuasive, benefit-led responses and think about the customer – what’s important to them? What are they looking for in their supplier?  Don’t simply provide a list of features – if you want to win tenders, take your responses one step further and state the benefits.

4.    Have a model: build a library of standard PQQ and tender responses – save documents such as insurance certificates, policies and yearly accounts in one place that is easily accessible by others in the company.

5.    Outdo yourself: don’t leave your tender until the last minute – make sure that you have dedicated ample time and resources to produce the best possible result. If you can’t submit your best effort for this bid, why you are submitting at all?

6.    Be decisive: make a conscious decision to bid – if you are tendering ‘just because’, this is not the recipe for a winning bid.

7.    Discriminate: can you deliver this tender? Do you want to win this bid? If you win, what will happen to your other contracts? Make sure you’re bidding for business you really want.

8.    Understand the bid requirements – and adhere to them.

9.    Know your audience: read the bid evaluation criteria – what’s most important to the customer?

10.  Be proactive: engage with the customer – being invited to bid is a compliment, and likely to put your submission in a stronger position than a cold response.

The UK catering contracts market is worth almost £3.8 billion.  The big four companies of Sodexo, Compass, Aramark and Elior do dominate the industry somewhat, and it can be seen as a mature market, meaning potential for growth is small.  However, there are still many opportunities available to SMEs, as a quick internet search will show you.  And don’t forget, the range of soft services used by caterers keeps growing.  Think reception, security, cleaning and even catering equipment.  So while it may seem as though there’s only room for the big boys in the catering industry, with so many variables, it is possible to find a place for your business.

Here is some great news for those of you working in the UK food and catering industry: the London 2012 Organising Committee has recently pledged in its ‘Food Vision’ http://www.london2012.com/publications/food-vision.php to serve ‘the best of British food’ during the Olympic and Paralympic Games.

And what fantastic opportunities for British businesses: 80% of the food served at the Olympics will be sourced from local British businesses – the remaining 20% being supplied by London 2012 commercial partners, Coca-Cola, McDonalds, Cadburys etc.

The recently disclosed London 2012 Food Vision aims to set new standards for catering at UK events; Local, seasonal, healthier and sustainable standards will be favored. All dairy products, beef, lamb and poultry must be British. In addition, bananas, tea, coffee and sugar will be Fairtrade. And 100% of the 19 tonnes of eggs that will be served will have to be cage-free.

And to help you get a feel for the size of the operation – a whopping 14 million meals to be served, this roughly means businesses will need to supply some:

*25,000 loaves of bread
*232 tonnes of potatoes
*82 tonnes of seafood
*31 tonnes of poultry
*100 tonnes of meat
*75,000 litres of milk
*21 tonnes of cheese (yum) and
*330 tonnes of fruit and vegetables
